Volunteer Management for College Fests and Community Events
By MyEventMitra Team · Updated 4 November 2026 · 5 min read
College fests and community events often run almost entirely on volunteers. Good organisation turns a large group of enthusiastic people into a team that actually gets the work done.
Recruit with clear roles
Instead of asking "who wants to help", list the roles you need: registration, stage, hospitality, logistics, social media. People sign up more readily for a specific job, and you avoid having fifteen people at the stage and nobody at the entry.
Organise into small teams
- One lead for every 5 to 10 volunteers.
- A shared sheet with names, roles, shifts and phone numbers.
- A WhatsApp group per team plus one for leads.
- A printed map of positions for the day.
Train before the event
Hold a short meeting a day or two before. Walk through the venue, the schedule and each team's duties. Practise the busiest moments, such as registration at the start.
Look after your volunteers
- Food and water for everyone on duty.
- Fair shifts so nobody works the whole day without a break.
- Certificates or recognition after the event.
- A thank-you message to the whole team.
When to bring in paid staff
For large crowds, security or specialised roles such as anchors and photographers, paid professionals can take pressure off student volunteers. Mixing the two works well when roles are clear.
Frequently asked questions
Should volunteers at college events be paid?
Many college events run on unpaid volunteers who receive certificates and food. If you hire outside staff, agree the pay and terms clearly.
