How Many Staff Do You Need for an Event? A Planning Guide
By MyEventMitra Team · Updated 4 November 2026 · 6 min read
There is no single formula for event staffing, but there is a reliable way to estimate it. Start with what guests will do at each point of the event, then put people where queues and confusion are likely.
Start with the guest journey
Walk through the event as a guest: arrival, parking, entry, registration, sessions, food, washrooms and exit. Every point where many people arrive at once needs staff. Every point where people may get lost needs signage plus someone to help.
Key factors
- Guest count and how quickly they arrive. A 9 am start means a peak at the door.
- Number of entry points, halls and floors.
- Event type: seated conference, standing concert, open expo or wedding.
- Service style: buffet, plated service or food stalls.
- VIPs or speakers who need dedicated support.
Planning roles, not just numbers
Estimate registration staff from how many guests arrive in the busiest 30 minutes and how long each check-in takes. Place ushers at every hall entrance and major turning point. Add crowd management at entries and exits for standing events. Plan logistics crew separately for set-up and pack-up, which often need more hands than the event itself.
Build in a buffer
Add a small buffer for breaks, absences and surprises, and assign team leads so that staff always know who to ask. After the event, note where queues formed and adjust numbers for next time.
Frequently asked questions
Do I need separate staff for set-up and the event?
Often, yes. Set-up and pack-up need physical work at different hours, while event staff need to be fresh and presentable. Plan them as separate shifts if you can.
