By MyEventMitra Team · Updated 4 November 2026 · 6 min read
On the event day there is no time to remember everything. A checklist keeps you calm and makes sure the small things, which guests notice, are not missed.
Before doors open
- Staff checked in and briefed; absentees replaced from standby.
- Registration desk set up, scanners and printers tested.
- Signage placed at entry, halls, washrooms and food areas.
- Sound, mics and projector checked in every hall.
- Emergency exits clear and first-aid point ready.
Registration and arrival
- Extra counters open for the arrival peak.
- A help desk for problem cases, away from the main queue.
- Ushers at hall entrances and turning points.
During sessions
- Timekeeper with each speaker or session.
- Mic runners ready for Q&A.
- A lead walking the venue to spot problems early.
- Staff breaks covered on rotation.
Food and breaks
Check counters open on time and queues are managed. Make sure staff food and water are available, because tired, hungry staff make mistakes late in the day.
Close-down
- Guests guided to exits and parking.
- Lost and found handed to the venue or recorded.
- Pack-up crew briefed and materials counted.
- Staff released by leads and payment confirmed.
