By MyEventMitra Team · Updated 4 November 2026 · 5 min read
Corporate clients expect a polished experience from the first email to the last guest leaving. Staffing is a big part of that. Use this checklist to plan staff for conferences, product launches, award nights and offsites.
Roles to plan for
- Registration desk and badge printing.
- Ushers for halls, seating and session timing.
- Hostesses or welcome staff at the entrance and stage.
- Guest relations and shadows for VIPs and speakers.
- Logistics crew for set-up, branding and pack-up.
- Anchor, photographer and videographer if not provided by the client.
Timeline
- 2 to 3 weeks before: confirm roles and numbers, and post requirements.
- 1 week before: shortlist, confirm and collect ID details if the venue needs them.
- 2 to 3 days before: send the briefing document and dress code.
- Day before: send reminders and confirm attendance.
- Event day: briefing at reporting time, then lead check-ins every few hours.
What to put in the briefing document
- Agenda and timings.
- Venue map with each person's position.
- Key contacts and team leads.
- VIP and speaker list, with photos if possible.
- Do's and don'ts: phone use, photos, breaks, client confidentiality.
After the event
Pay staff as agreed, collect feedback from team leads, and note your best people for the next event. Building a reliable core team is the best way to deliver consistent corporate events.
Frequently asked questions
Should staff sign an NDA for corporate events?
Some clients require it, especially for product launches. Mention any confidentiality requirement in the job post so staff know before they accept.
