Ushers, Hostesses and Guest Relations: A Beginner's Guide
By MyEventMitra Team · Updated 4 November 2026 · 5 min read
Ushers, hostesses, welcome staff and guest relations executives all look after guests, but each role has a different focus. Knowing the difference helps you pick the right listings and set the right expectations.
How the roles differ
- Usher: guides guests to seats, halls and exits; manages seating at sessions and shows.
- Welcome staff and hostess: greets guests at the entrance or stage and represents the event or brand.
- Guest relations: looks after important guests, solves problems and coordinates with the organizer.
- Shadow (male or female): stays close to a VIP or speaker and handles their schedule and needs.
What organizers expect
These are customer-facing roles, so presentation matters. Expect a dress code, often formal or event-themed, and a briefing on names, schedule and venue layout. You may need to stand for long periods, so plan for comfortable formal shoes.
Handling difficult moments
Guests may be late, lost or upset. Stay calm, listen, and offer what you can do. If something is beyond your role, such as a seating dispute with a VIP, politely bring in your supervisor. Never argue with a guest in public.
Moving up
Good ushers often move into hostess and guest relations roles, which usually pay more. Keep a record of events you have worked, ask leads for feedback, and add those events to your profile.
Frequently asked questions
Is the hostess role only for women?
Organizers sometimes specify gender for a role, but many welcome and guest relations roles are open to everyone. Read each listing for its requirements.
